Position Overview:
The HR Administrator will support the Human Resources function across the Group by ensuring the effective coordination of HR administration, compliance processes, employee documentation, and workforce support activities. The role requires a highly organised and discreet individual capable of operating within a multi-entity environment while maintaining strict confidentiality and regulatory compliance.

This position plays a central role in maintaining HR operational efficiency, ensuring adherence to Maltese employment legislation, internal policies, and data protection requirements. The HR Administrator will coordinate recruitment administration, employee records, leave management, training documentation, payroll support, and work permit processes across the Group’s subsidiaries.
The role requires strong communication skills and the ability to liaise effectively with management, employees, and external authorities where required.
Key Responsibilities:
- Maintain accurate and up-to-date employee records in line with GDPR and internal data protection policies.
- Support recruitment processes, including interview coordination, candidate communication, and onboarding documentation.
- Prepare and maintain employment contracts, HR policies, certifications, and procedural documentation.
- Manage employee leave administration and attendance records in accordance with company policy.
- Coordinate work permit applications and related regulatory documentation when required.
- Liaise with Finance to ensure accurate payroll data submission and updates.

- Coordinate internal and external training initiatives and maintain training records.
- Provide first-line HR support to employees and escalate complex matters to HR Management.
- Generate HR reports and support workforce data analysis for management review.
- Ensure ongoing compliance with Maltese labour laws and internal governance standards.
Candidate Profile:
- Previous experience in HR administration or a related role.
- Sound knowledge of Maltese employment legislation and HR procedures.
- Strong organisational and time-management skills.
- High level of discretion and ability to handle confidential information.
- Proficiency in Microsoft Office applications, particularly Excel and Word.
- Fluency in spoken and written Maltese is mandatory due to regular interaction with local operational teams, suppliers, and stakeholders.
- Strong English communication skills are required.
- Knowledge of Italian will be considered an asset.
