As we continue to scale our presence—through flagship summits, curated roadshows, private investor gatherings, and media initiatives—we’re building a lean, ambitious team that wants to learn how global businesses are built from the inside out.
To support our expansion, we’re now looking for a driven Operations and Projects Lead to join our Malta-based team.
The Opportunity
This is a rare role for someone early in their career who wants real exposure, not theory. You will work directly alongside the CEO, sitting at the intersection of operations, project management, and business development — with full visibility into how an international events and media company is built and run.
We are not looking for the most experienced candidate. We are looking for someone exceptionally organized, driven, and ready to take real ownership from day one.
Role Description / What you'll Do.
1. Operations & Project Management (Core Focus)
- Maintain a live overview of all active projects across departments — events, marketing, partnerships, speakers, website, and IT
- Track deliverables, timelines, and ownership to ensure nothing falls through the cracks
- Coordinate with vendors, speakers, sponsors, and internal teams
- Support the planning and execution of conferences, roadshows, and private events
- Assist on-site during events in Malta, across Europe, and internationally when required
- Proactively flag risks and delays before they become problems
2. CEO & Leadership Support
- Serve as the operational link between the CEO and the wider team
- Prepare structured updates so leadership has full visibility without needing to chase
- Attend key meetings, capture actions, and ensure follow-through across the team
- Help the CEO stay focused on strategic priorities by owning coordination and follow-up
3. Business Development Support
- Research and qualify potential sponsors, partners, and clients
- Support outreach via email and LinkedIn, and assist with follow-ups
- oin sales and partnership calls — initially shadowing, then gradually leading
- Maintain CRM systems and help track pipelines and proposals
- Progressively take ownership of smaller accounts and partnerships
4. Cross-Functional Coordination & Accountability
- Keep communication flowing effectively across marketing, operations, sales, and partnerships
- Hold team members accountable in a professional and structured way
- Build lightweight systems and processes that improve execution consistency
- Step in to coordinate high-priority or time-sensitive initiatives
5. Onboarding & Team Integration
Support onboarding of new team members and ensure they are properly integrated
Help build and maintain onboarding documentation and company workflows
This is a full-time hybrid role for an Operations & Projects Manager based in Boca Raton, FL, with the option for some remote work. The Operations & Projects Manager will oversee day-to-day operations, manage projects from inception to completion, ensure that program objectives are met, monitor budgets, and coordinate resources. The role also includes streamlining organizational processes, collaborating with cross-functional teams, and ensuring alignment with strategic goals to enhance efficiency and deliver successful outcomes.
