We are a leading yacht sales and brokerage office in Malta, specializing in market-leading sailing yacht brands and offering premium aftersales service. We are currently seeking an Operations Assistant to support our team with a range of administrative and operational tasks. This position is full-time and based in our office located in Ta’ Xbiex/ Pieta. This role offers a dynamic opportunity to support both Sales & Brokerage and Aftersales operations, playing a key role in ensuring smooth day-to-day business activities across multiple functions.
The ideal candidate will be detail-oriented, commercially aware, and capable of managing multiple priorities in a fast-paced environment. This position is well-suited for someone looking to develop their career within a structured and professional marine environment.
Key Responsibilities
The selected candidate will be responsible for supporting the team across administrative, operational, and coordination functions, including:
- Providing administrative support to the Sales and Brokerage team
- Assisting with the coordination of vessel sales and purchase transactions
- Maintaining and updating the client database to ensure accuracy and usability
- Handling incoming calls and correspondence in a timely and professional manner
- Scheduling appointments and managing calendars
- Coordinating with vendors, suppliers, dealerships, and external stakeholders
- Preparing documentation, maintaining records, and ensuring proper filing systems
- Supporting marketing initiatives, including website and social media updates
- Assisting the Aftersales team with:
- Scheduling maintenance and repair works
- Coordinating logistics, transport, and shipping
- Managing and monitoring inventory
- Liaising with Transport Malta on vessel registrations and related yachting transactions
- Coordinating warranty works, claims, reporting, and record-keeping with dealerships
- Assisting with boat shows, events, and general company initiatives
- Monitoring and managing inventory levels and stock control
- Compiling job costing data and supporting cost tracking
- Preparing invoices for approval based on supplier bills and labour inputs
- Handling petty cash and related reconciliations
- Maintaining complete records for all vessels and coordinating documentation handover to owners
Requirements:
- Previous administrative or operations experience, preferably in a similar role.
- Excellent organisational and time-management skills.
- Strong communication skills, both written and verbal.
- Fluency in English is required for this position, and fluency in French is considered a plus.
- Proficiency in Microsoft Office and other relevant software applications.
- Knowledge or interest in boating is a plus.
- Ability to work independently and as part of a team.
- Detail-oriented and able to multitask effectively.
