About the Role
We're looking for an organised and proactive Office Manager to join our team on a 12-month fixed-term contract.
This is a varied role where you'll be at the heart of the office, ensuring the day-to-day operations run smoothly while providing administrative support across the business. From welcoming visitors and coordinating travel to managing suppliers, office facilities, and events, you'll play a key role in creating an efficient, professional, and welcoming workplace.
This position is ideal for someone who thrives in a fast-paced environment, enjoys variety, and takes pride in delivering exceptional service.
What You'll Be Doing
- Managing front-of-house reception and welcoming visitors to the office
- Providing day-to-day administrative support to the Site Manager, Administration team, and HR
- Managing incoming calls, emails, and general enquiries
- Booking meeting rooms and preparing facilities for meetings and events
- Coordinating travel, including flights, accommodation, and transport
- Organising office events, celebrations, and employee recognition activities
- Managing office, kitchen, and cleaning supplies while maintaining supplier relationships
- Coordinating office maintenance, cleaning, and health & safety requirements
- Supporting purchasing activities and monitoring budgets
- Assisting with vendor management and procurement processes
- Producing reports and maintaining accurate administrative documentation
- Ensuring confidentiality and providing outstanding internal customer service
What We're Looking For
- Previous experience in an Office Administrator or similar administrative role
- Strong organisational skills with the ability to manage multiple priorities
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
- Experience coordinating travel and managing diaries is advantageous
- Strong attention to detail and excellent time management skills
- Ability to build positive relationships with colleagues, suppliers, and visitors
- A proactive approach with excellent problem-solving skills
- Professional, reliable, and able to handle confidential information with discretion
- Fluency in English is essential, with Maltese considered an advantage
