Responsibilities

Direct and manage overall office operations and administrative duties to maintain a well organized, efficient, and smooth work environment on a daily basis.
Manage and oversee the procurement and management of office supplies and equipment, while maintaining strong relationships with vendors.
Perform receptionist duties: greet visitors, and answer and direct phone calls
Receive and sort incoming mail and deliveries, and manage outgoing mail
Develop office policies and procedures, and ensure they are implemented appropriately
Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
Organize and facilitate employee engagement initiatives, as well as coordinate logistics for company meetings and events.
Manage office budget
Serve as the primary point of contact for all office-related activities and inquiries.
Collaborate with the company secretary to ensure the effective management of committees, board meetings, preparation of board packs, and recording of minutes.
Ensure compliance with health and safety regulations within the office and educate employees on emergency procedures.
Assist in the onboarding process for new hires and organize training sessions to equip staff with necessary skills and knowledge.
Identify opportunities for process and office management improvements, and design and implement new systems

You have

1+ years of experience as an Office Manager, Executive Assistant, Office Administrator, or similar role.
Strong organizational and multitasking skills with attention to detail.
Excellent communication and stakeholder management skills
Passionate about providing a superlative experience to employees
Strong interpersonal skills and ability to build relationships at all levels.
Must be a self-starter and driven

Details/Expectations

Full or Part-time position
Expected to be in the Malta Office 5 days per week. Exact work window will depend upon the needs of the office (including, but not limited to, arrival time of guests, candidates, and clients, onsite maintenance work, scheduled deliveries, etc.). However, a typical work window will likely fall from 10:00 am - 3:00 pm CET (25 hrs/week on average).
